How to make a rental request

ProprioLocation allows you to easily manage your rental applications online—whether you're with the prospective tenant or not. 


Here’s how it works:


✅ Step 1: Access the rental application form

Log in to your account on ProprioLocation.

Click on “New Rental Application” in your dashboard or go to the “My Rental Applications” tab.



Step 2: Enter property details

Provide the address and relevant information about the property.

If you’ve previously used this address, click “Recently used address”, then select “Use this address” to autofill the form.

Click “Continue” if you're with the applicant or “Send the request” to submit it by email.


Are you with the prospective tenant?

  • Yes: Click “Yes” to complete the form with them.

  • No: Click “No” to send them the form by email. They will have 24 hours to complete it on their device (computer, tablet, or phone).




Step 3: Applicant's personal information

The prospective tenant will be asked to:

  • Provide basic identification details and answer a few questions

  • Enter an email address or mobile number to enable electronic signature

  • Complete the signature using a code sent via SMS or email

The SIN (Social Insurance Number) is not mandatory, but strongly recommended. It helps ensure an accurate credit report and avoids confusion between individuals with similar personal data. Once submitted, the SIN is no longer visible.



Step 4: Residential history

The applicant will need to provide:

  • Their current address

  • Contact information for their current and previous landlords

✅ The more accurate the information, the better your chances of receiving a complete and reliable report. We recommend adding a previous address even if you don’t plan to check references.


Step 5: Employment details

The applicant should enter:

  • Their current employer

  • The company’s address

  • The date of hire

 The more complete the information, the easier it is for our team to reach HR and process references efficiently.



If the applicant is unemployed:

  • Click “I am not currently employed” at the top of the page

  • Indicate their current activity and monthly income, if applicable




✍️ Step 6: Sign the rental application

Once all required fields are completed, the applicant must sign the form.

Two methods are available:


Electronic signature (recommended)

  • By SMS: A 6-digit code is sent to their phone

  • By email: A code and confirmation link are sent to their inbox

⚡ This is the fastest and easiest way to sign the rental application.

At this step, you may also define legal terms such as:

  • The deposit amount to cover screening fees

  • The deadline to sign the lease if the application is approved




Step 7: Final review

Before sending, verify that all information is accurate. Then click Confirm to send the final verification code to the applicant.


Confirm via SMS

A 6-digit code will be sent to the phone number provided. The tenant enters this code in Step 7 to complete their signature.

 

Confirm via email

The same 6-digit code is also sent via email. The tenant must click the link and enter the code in the appropriate field to validate the form.


Signed application received

Once the applicant signs the rental form:

  • You’ll receive a confirmation email

  • The completed form will be available under the “Signed Applications” tab in your dashboard

You can then proceed with the pre-rental screening using ProprioEnquête®.


❓ Frequently Asked Questions

⌛ My applicant didn’t complete the form within 24 hours. What should I do?

Send a new application request from your dashboard.

? The email wasn’t received. What now?

  • Ask the applicant to check their spam or junk folder

  • Double-check that the email address was entered correctly
